Frequently asked questions

What M&E teams ask before they bring their data to Fidiba, in short answers.

Getting started

What is Fidiba?

Fidiba turns your data into live dashboards and scheduled reports, for monitoring and evaluation teams. Bring your Kobo or ODK data, or build and collect in Fidiba.

Do we have to stop using Kobo or ODK?

No. Keep collecting the way you do now. Fidiba only reads your submissions. Nothing is written back to KoboToolbox or ODK Central, and photos and other files stay on your server.

Can we import spreadsheets?

Yes. Import a CSV, Excel or JSON file, or pick one from Google Drive. A CSV or Excel file can be up to 100 MB and 1,000,000 rows.

Can we reuse a project for the next one?

Yes. Save any project as a template: its data sources, dashboards and reports, without its answers. Your next project starts from it, and everything in it can be changed. Saving templates comes with the Individual and Team plans.

Collecting data

Can we collect data in Fidiba?

Yes. Build a data source with choices, numbers, dates, locations and free text, sections, conditions and repeat groups, then share a link or QR code, or send it on WhatsApp. People answer on their phone without an account.

Does collection work offline?

Yes. Data collectors keep working on phones without a connection, and the answers send when the phone is back online. Answers waiting on the phone are encrypted and unlocked with the collector’s PIN, and a project manager can unlink a lost phone.

Do data collectors need an account?

No. A project manager names each collector and links their phone. Collectors never sign in and do not count as users on any plan.

Which languages can we collect in?

Any. Add a translation of the questions in any language, right-to-left ones included, and respondents switch to it while they answer. Fidiba’s own screens are in English.

Can Fidiba read paper forms?

Yes, once an Owner turns it on. Take a photo of a filled paper form and AI fills in a new response for you to check and submit. Fidiba keeps the photo encrypted for 30 days, then deletes it.

Is there a limit on submissions?

No. Every plan takes as many submissions as your programme brings in, from as many respondents as you like. An imported CSV or Excel file can be up to 100 MB and 1,000,000 rows.

Reports and dashboards

What does the report look like?

It is one of your dashboards laid out as a report: headings, text with live figures, charts, tables, maps and your own images. Fidiba emails it as a PDF, with CSV files of the figures if you want them, every week or month. Paid plans leave out the Fidiba credit.

How fresh is the data?

Kobo and ODK data sources refresh every day by default, or every hour if you choose, and Refresh brings in new submissions whenever you want. Data collected in Fidiba counts as soon as it is submitted.

Do our numbers change when we clean the data?

Submitted data is never edited. Cleaning steps apply to the data used for analysis and to new submissions as they arrive, the original stays beside it, and removing a step undoes it everywhere.

Who can see the results?

Only the people you invite, with the role you give them. Partners can follow a dashboard as free dashboard viewers, or through a public link you publish.

AI

Do we have to use AI?

No. AI helps you ask questions of your data in plain language, write chart notes and set up projects, but everything works without it, and an Owner can turn it off.

What does the AI see?

Your question, the names and types of your fields, counts, the common values of fields that hold no personal data, and grouped totals. Never individual responses, personal answers or passwords, with two exceptions an Owner turns on. Reading paper forms sends the photo of a form to the model to be read. AI themes send a data source’s written answers to open questions to the model to find and code themes (also as new answers arrive, if a member turns that on), sum them up and translate them. Your data is not used to train AI models.

How AI features handle data
How many AI questions do we get?

Each month includes 50 on Free, 500 on Individual, 2,000 on Team. Paid plans can buy credit packs for more, and credits never expire.

Plans and billing

What does it cost?

Free costs nothing and needs no card. Individual is $10 a month for one person, Team is $20 a user a month, and Enterprise is an agreed quote. Paying yearly costs less: $96 a year for Individual and $204 a user a year for Team.

Compare plans
Who counts as a user?

Owners, Project managers and Project viewers. Free includes 3, Individual one and Team as many as you pay for. Dashboard viewers, data collectors and people who answer through your links are free.

How do we pay?

By card, monthly or yearly, in US dollars. Prices are before tax.

Can we change or cancel a plan?

Yes, at any time. A cancelled plan runs to the end of the period already paid. Moving to a smaller plan deletes nothing: anything over a limit stays readable.

Data and security

Where is our data kept?

On DigitalOcean in London, United Kingdom, encrypted in transit and at rest. Each organisation is kept apart from the others by the database itself.

Security and privacy
Can Fidiba staff see our data?

Only in a read-only support view that needs a written reason, lasts at most 30 minutes and cannot show personal answers. Each one is recorded in Fidiba's internal audit log, with who looked, as whom, when and why.

Can we take our data with us?

Yes. An Owner can export everything at any time: one ZIP with every data source as CSV, photos, dashboards, saved analyses and codebooks, emailed as a link only they can open. Project managers can export a project as CSV files. An Owner can also delete the whole organisation; its data is erased, normally within minutes, and leaves the backups within seven days.
